Yes, you've read it right. At Picktime, we have been working on a major feature update which means a bunch of new functionality to play around with—introducing our Round Robin, the new supercharged feature of Picktime - an all-in-one stack to distribute appointments evenly. As we all know, implementing and using Picktime to get the greatest return on your time and investment demands a high level of expertise. Our team is working hard to make your user experience as smooth as possible. Let's dive deep into our new top feature released this year.

Round Robin - Bookings Distribution

The round-robin allows businesses to distribute appointments evenly among the team members. This is a great way to ensure everyone gets a fair share of bookings. The round-robin booking feature can help avoid overbooking for particular team members.

With the round-robin booking feature enabled, the system will automatically schedule appointments so that each person on your team gets an equal number of bookings for the day. This is a huge time saver and ensures that everyone on your team has complete control over their booking schedule. The round-robin is worth considering if you're looking for a way to streamline your appointment booking process.

Depending on your needs, you can set the round-robin feature in your Picktime account settings in three different ways.

Distribute The Bookings Based On The Priority Of The Team Member

This would be the first option when changing settings for your online bookings. Users can access this option even in the free service plan. When you enable the round-robin and select this option, the system automatically searches for the first available team member. It will assign the booking to that team member only ( based on the order of your team member's list ).

Whenever a customer is trying to book the service, based on the team member's order and availability, the system will search for the particular time slot for the first team member. The system will move on to the following listed team member if the first team member is unavailable for that time slot.

Depending on the availability of team members, the system will now book the time slot, but it will always prioritize the order of team members.

Distribute the Bookings Evenly Based On the Priority Of the Team Member and the Total Number Of Bookings

Enable the round-robin and select the second option; the system will automatically select the team member holding the least number of bookings for the day. Again the team members will be chosen automatically based on their order in the list.

Whenever a customer is trying to book a service, the system will search for the team member with the least amount of bookings on that particular day and the availability for that specific time slot.

Depending on the availability of team members, the system will now book the time slot; however, it will always prioritize the team member who possesses the least bookings on that particular day to distribute the bookings evenly.

Distribute the Bookings Evenly Based on the Priority of Team Members and the Total Number of Bookings on a Particular Service

The last option in the round-robin feature is almost similar to the second one. In the third option, the system will automatically select the team member with the least number of bookings but for that particular service on that day. Like the other two, team members will be selected automatically based on their order in the list if nobody has bookings.

Whenever a customer is trying to book a service, the system will search for the team member with the least bookings for that particular service on that day with the availability for that specific time slot.

Depending on the availability of team members, the system will now book the time slot and send the updates. Just to note, the system will always prioritize the team member with the least bookings for the particular service on that day.

Note - The second and third options are only available under the paid (Pro) plan.
